Lesson 1.1: Managing Personal Folders

   

 

 

Outlook has a central way for you to manage all these data file options: the Data File Management window. You can click the File menu and click Data File Management to bring up this screen:

 

 

Here’s an overview of the options in this window:

-       Tell Me More: Brings up Outlook help topics related to personal folder files.

-       Main window: Lists data files currently in Outlook. You can click the headers (Name, Filename, or Comment) to sort by these fields. The comment field will tell you which data file e-mail is being delivered to.

-       Settings: Opens the advanced properties window for the selected personal folder file.

-       Open Folder: Opens a My Computer window displaying the contents of the folder that the selected personal folder file is in. (The file itself will be highlighted in the My Computer window.)

-       Add: Begins the process of adding a new personal folder file.

-       Remove: Closes the personal folder file.

-       Close: Closes the window.

 

This is a great tool to familiarize yourself with if you’re going to be working with data files.
