Lesson 1.4: The Outlook Address Book

   

 

 

When you open the address book using one of the commands listed above, this is the screen you will see:

 

 

The item labelled with a 1 is the address book toolbar. Here’s an overview of its buttons:

 

Creates a new contact.

Opens a find dialog box where you can enter a name.

Opens the entry so you can see its properties.

Deletes the entry.

Adds the entry to your contact folder. (This is only available if you are accessing contacts outside your contacts folder.)

Creates a new mail message addressed to this contact.

 

 

The box labelled with a 2 in the figure above lets you type in a name to jump to it in the list. (For example, if we typed elm in the figure above, Elmer Fudd would be selected.)

 

The drop-down menu labelled with a 3 shows you all of your contact sources.

 

What’s listed in the menu will depend on what you have set up in Outlook. For example, the menu on the right has a listing for Search Results because the find button on the toolbar has been used. (This will delete itself after the address book has been closed.) If you’re connected to a Microsoft Exchange server, you may see a Global Address List in this window. Once you select an item from this list, its contents will display in the main part of the screen (marked with a 4 in the figure on the previous page).
