SECTION 2
Lesson 2.1: Information Management Features

Let’s say someone has already given you permission to view their folder. You can open it in two different ways.

First, let’s talk about using the File menu. When you click File, choose Open, and click Other User’s folder, you’ll see the window on the right. You can either type in the user’s name, or click the Name button to use the Outlook Address book to pick a name from users on your network.

Click OK and the folder you’ve selected will appear in the middle pane of Outlook where messages are displayed, like this:

You can also use the tools in the folder list to open a shared folder. In the sample above, you can see that there’s a check in Velsoft under “Other Calendars.” If we uncheck the box, the Velsoft calendar will no longer be displayed. If the folder is closed, we can open it up just by checking the box.

You can also click the Open a Shared Calendar to see the same dialog box we saw when we clicked File, clicked Open, and clicked Other User’s Folder.

The folder will also be saved in a list in case you want to open it later on:

You can click on the entries in the bottom part of the menu (for example, Velsoft in the sample above) to open the particular folder.
