Lesson 2.1: Mail Merge Using the Wizard

   

 

 

1.

Open Microsoft Office Word 2003. (If you already have Word open, create a blank document.)

Click the Tools menu, choose Letters and Mailings, and click Mail Merge.

In Step 1, choose Letters.

Click Next.

 

 

 

4.

Click Start from a Template.

Click the Select Template link.

 

 

 

5.

In the Templates dialog box, click the Mail Merge tab.

Click Elegant Merge Letter and click OK.

 

 

 

6.

Click Next to proceed to Step 3.

 

 

7.

In Step 3, click Type a New List.

Click Create.

 

 

 

8.

In the New Address List dialog box, fill in the following information:

First Name

 Fred

Last Name

 Flintstone

Address Line 1

 Bedrock

State

 NV

ZIP Code

Click New Entry to create another blank contact. Fill in this contact with:

Click New Entry to create another blank contact. Fill in this contact with:

Click Close.

When prompted, save your addresses to the desktop as My Addresses.

In the Select Recipients dialog box, ensure all three contacts are checked.

Click OK.

Click Next to move to Step 4.

First, let’s fill out our template.

At the top of the template, type The Rockhead Quarry for the company name.

For the body of the letter, type, We just wanted to thank you for being such an important part of Bedrock. To show our thanks, we’re having a company picnic on Saturday at 2 pm at the quarry. Bring your family and friends!

For the closing, type J.J. Granite for the name and President for the title.

Next, select the Address Block field in the current document. Delete it.

Then, click the Address Block link in the task pane. Choose the same options as in the sample below and click OK.

 

 

 

15.

Click Next to proceed to Step 5.

In the preview, make sure that everything looks correct.

Click Next.

 

 

 

16.

Click the Edit Individual Letters link in Step 6.

 

 

 

17.

Click OK in the Merge to New Document dialog.

 

 

 

18.

Save the new document as Completed Merge.

Close Microsoft Office Word 2003.
