Lesson 2.2: Manual Mail Merge

   

 

There is also an option in between using the mail merge wizard and creating a merge freehand. That option is the letter wizard. You can open the letter wizard by clicking the Tools menu, choosing Letters and Mailings, and clicking Letter Wizard.

 

We talked about this wizard briefly in Section Two, but let’s take a closer look at it.

 

 

You can see from the sample above that the Letter Wizard has four tabs. Let’s look at what each tab does.

Pick a design from the drop-down menu and see a preview below it. You can choose merge templates or normal templates.

Pre-printed letterhead

If you’re using pre-printed letterhead, tell Word how much space the letterhead needs and where it is on the page so the letter can be formatted around it.

Use Address Book

Retrieve contact information from your Outlook contacts.

 

 

Recipient’s name

Type in the recipient’s name here.

 

 

Delivery address

Tell Word where your letter is going

 

Salutation

Wording

Choose the wording of your greeting from a drop-down menu or type your own.

 

 

Type

Choose Informal, Formal, Business, or Other greeting type.

Other Elements

Reference Line

Add “Re:” to your letter.

 

 

Mailing instructions

Add special mailing instructions.

 

 

Attention

Mark your letter to the attention of a specific person.

 

 

Subject

Include a subject in your letter.

 

Courtesy Copies

Use Address Book

Retrieve contact information from your Outlook contacts.

 

 

Main box

Type in the additional recipients and/or addresses here.

Sender Info

Information About the Person Sending

Use Address Book

Retrieve contact information from your Outlook contacts.

 

 

Sender’s Name

Type the sender’s name here.

 

 

Sender’s Address

Type the sender’s address here, or check the box to omit the return address.

 

Closing

Complimentary

Check any of these closings to include them. You can choose a pre-defined closing from the menu or type your own.

Specify how many items there are enclosed with this letter.

Preview your letter.

 

Once you have set your letter options, click OK to edit it.

 

 

Note that among the page designs available merge templates were listed. You can use this wizard to create a letter, and then add a data source and merge fields with the Mail Merge toolbar.
