There are a few more key features available when creating e-mail from Word.
The
first we’ll look at is priority. This marks your message with a certain
importance (high or low; the default setting is normal) when it arrives
in the recipient’s inbox, if their e-mail software supports such
features. You can set your message’s priority using the drop-down menu
in the Options dialog that we just looked at. A quicker way to set
priority is to use the buttons on the e-mail toolbar; click the red
exclamation mark (
Another neat feature is the ability to flag your message. This flag will appear next to your message when it arrives in the recipient’s inbox (again, if their e-mail software supports the feature).
You can create a flagged message by clicking the File menu, choosing Send to, and clicking Mail Recipient (For Review). This option will open a new message in your default e-mail program, flag the message for review, and attach the Word document to the message. You can then use your e-mail program to finish off the message.
The bottom set of options lets you set a deadline for this e-mail to be attended to. If the recipient’s e-mail program supports this feature, a reminder will be displayed so they’ll read your e-mail on time!
If you’ve previously set a flag on this message and want to remove it, use the Clear Flag button. Then, click OK to save your changes.
The last feature we’re going to look at is Blind Carbon Copy. Blind Carbon Copy (BCC) is an address field you can add to your e-mail messages. When you enter addresses into the BCC field, recipients in the To and CC fields cannot see those addresses. As well, addressees in the BCC field cannot see each other.
To enable the BCC field, click the drop-down arrow next to Options and click BCC.
Then, the BCC field will appear like the other fields.
You can remove the BCC field at any time by going back into the Options menu and un-checking it.
